Macintosh Classroom Reservation Policy

Systems Labs manages a number of classrooms within our Macintosh-based computer labs. Although we welcome UK faculty and staff members who wish to reserve classrooms for special visits, they are often in use by regularly scheduled classes or students doing projects outside of class time. For this reason, we have created a reservation policy to ensure that visiting groups do not conflict with other scheduled uses and that visiting faculty and staff can be appropriately placed and assisted based on their hardware and software needs.

Classrooms may be reserved by UK faculty and staff for classes or other functions, as long as they are intended for the benefit of UK student groups or organizations. Reservations that do not meet these requirements must be specially approved by Systems Labs before the reservation will be confirmed.

See our available software page for a list of current installed applications and an explaination of the difference between basic and specialty software. Use of specialty software may be limited due to licensing restrictions. Additional software may be requested in accordance with our software installation policy.

To schedule a class, complete the reservation form. The form must be received by Systems Labs no later than one week before the date requested for the reservation. Once the form is processed, you will be contacted regarding the status of your request and, if approved, your reservation will be added to the calendars posted outside the classroom doors and on our website. Reservations are accepted on a first come, first serve basis, although efforts will be made to accommodate all requests. Classrooms cannot be reserved outside of normal lab hours and should end at least 15 minutes before the lab's closing time to allow staff to complete closing procedures.

Each person using a Systems Labs computer must have an individual Macintosh account. Sharing of accounts or passwords is a violation of UK Computing Policy. Please see our account creation page for information about creating these accounts. Note that special temporary accounts for visiting (non-UK) participants or instructors must be requested one week in advance.

By making a classroom reservation, the UK faculty or staff member(s) agrees to the following:

  • The faculty member accepts responsibility for ensuring that s/he and the students have Systems Labs Macintosh accounts. Users who do not have Macintosh accounts will be unable to use the hardware and software installed in the classrooms.
  • Faculty members have the right to determine whether persons not associated with their group will be allowed to remain in the classroom during the time of the instruction, as long as the group arrives within 20 minutes of the scheduled time.
  • Classrooms not occupied 20 minutes into the scheduled time shall be made available for student use and students or other groups who begin to use the space shall not be removed if the class arrives late. Exceptions can be made with notice.
  • The faculty member must relinquish the classroom at the designated time.
  • Under no circumstances is any equipment to be removed from classrooms, nor moved about within the classroom. Peripherals may not be moved between computers. Special arrangements for peripherals may be possible if the request is made with the classroom reservation.
  • Cancellations should be made within 24 hours of the start time of the class whenever possible. While leeway always is given, persons or groups who repeatedly reserve classrooms and cancel without notice will not be allowed to reserve space again in the future.

These requirements and all other lab policies must be followed without exception, or the faculty member will forfeit use of the classroom.
